What this hire really comes down to

A Senior ERP Administrator operates at the intersection of accounting process and system configuration. Your hire must do more than keep the lights on. They maintain the structural integrity of your financial data, manage user access permissions, and troubleshoot complex bottlenecks that stop day to day production.

Expect this professional to own the entire lifecycle of your business system. They serve as the final filter for new workflow requests, assessing whether a customization actually adds value or simply creates technical debt. You need someone capable of saying no to feature creep while keeping the system responsive.

What we check before you see anyone

  • Platform Specific Logic

Ask how they handle business logic within your specific ERP. A strong candidate describes their process for creating custom fields that do not break standard reporting or upgrade paths. Look for evidence of managing vendor releases without losing custom functionality. They should explain how they reconcile differences between standard software behavior and your unique internal accounting requirements.

  • Security Architecture

The candidate must demonstrate a granular understanding of security roles. They should move beyond broad administrative rights, showing how they restrict access to sensitive cost centers or payroll functions based on the principle of least privilege. Test them on their ability to audit who changed specific records and when, specifically regarding audit logs or tracking tables within the database.

  • Data Integrity and Reporting

An ERP administrator is only as valuable as the data they protect. Probe their experience with report writing tools connected to the ERP. They should show they can build reports that reconcile against the general ledger without manual intervention.

  • Integration Management

Most companies use your ERP as the core of a larger ecosystem. Ask how they manage API connections to peripheral software like CRM or e-commerce platforms. They should be able to identify where data syncs fail, how to handle error logs, and how to verify that incoming data matches your internal validation rules.

Where we find them

Search for candidates who hold current certifications such as the MB-800 for Dynamics or equivalent vendor credentials for Sage or Infor. These certifications indicate the candidate has passed a test on the baseline functions of the software, proving they speak the platform language.

The best candidates often come from companies that recently completed a major implementation or a massive data migration project. They have the bruises from the deployment phase and the discipline required to maintain a post deployment environment. Look for administrators who transitioned from a finance or accounting role into the technical side.

Mistakes we see

  • Hiring based on general IT experience rather than specific ERP depth. An administrator who knows networking or desktop support will fail when asked to resolve a complex sub-ledger discrepancy. They must know the accounting logic behind the screen.

  • Prioritizing custom coding over standard configuration. If your administrator is always writing new scripts instead of using the software as designed, they are increasing your costs for every future vendor upgrade. You need someone who optimizes within the platform constraints.

  • Ignoring documentation standards. A senior administrator must leave a trail of their changes. If they cannot provide a change log for the last three system updates they performed, they are not senior. Your hire will eventually pay for this lack of oversight when they leave and nobody knows how the system is currently configured.

The search in three steps

  1. Agree the brief

Start by defining your most painful current system bottleneck. During the intake call, identify the specific version of the software you run and whether you use hosted or on-premise infrastructure. This establishes the technical boundary for the candidate pool.

  2. Find and speak with people

When screening, present a real world scenario where a user reports an error during invoice processing. A capable administrator asks about the current state of the database, recent permissions changes, and the log files before proposing a fix. This reveals their troubleshooting methodology.

  3. Introduce the people who fit

During the final evaluation, have them review a sample report or a configuration document you possess. This forces them to show their work and demonstrates if they can communicate technical constraints to non-technical stakeholders without using jargon.

Questions about this search

Does this role require a consultant or a full time employee?

Consultants work well for initial implementation or major upgrades. If your ERP requires daily monitoring, complex user management, and constant integration tuning, you need a full time employee to maintain the institutional knowledge.

How do we handle a candidate with a strong counteroffer?

If they have a counteroffer, the candidate is likely using your offer to get a raise at their current firm. Move to your backup candidate immediately. You need someone who is invested in the long term stability of your specific environment, not someone looking for a use point.

Should the administrator be onsite or remote?

If your infrastructure is cloud based, remote works perfectly. If you manage an on-premise server stack or hardware integrations, having them onsite for critical patches and hardware maintenance is necessary for rapid recovery.

How do we verify technical fit if we are not technical?

Use a work sample test that focuses on a specific task like configuring a user role or mapping a data field. If they cannot explain the impact of that change on the general ledger in plain English, they do not possess the required functional depth.

How do we constrain a shortlist to avoid wasting time?

Require evidence of specific platform experience in their resume. Filter for candidates who have supported a company of your size and industry. Reject any profile that lists generic experience without identifying the ERP version or module they actually owned.

The Six-Step Search

  1. 01

    Search Calibration

We discuss the work before treating a title as a brief. You explain the systems, problems, responsibilities and support available. We agree what experience matters, which requirements are flexible, and what the employer still needs to assess.

  2. 02

    Targeted Market Research

We research teams doing relevant work, not just people using the same tools. A hospital support desk and an office help desk need different backgrounds. You get feedback when the scope, location or compensation makes the search harder.

  3. 03

    Personal Outreach

We identify relevant people and contact them with a reason tied to the opening. Follow-up is considered and respectful. Someone can have the right background and still decline; interest is not assumed from a profile or a reply.

  4. 04

    Live Candidate Qualification

We ask what the person personally delivered, which decisions they owned and what happened when something went wrong. The conversation fits the assignment's level. We discuss motivation, compensation expectations, location, schedule and questions about the opportunity.

  5. 05

    Written Candidate Insight

The presentation explains relevant experience, the apparent fit and the questions still open. We distinguish the candidate's account from our judgment. Your hiring team retains responsibility for technical assessment and the final decision.

  6. 06

    Interview and Offer Support

We help keep interviews moving, clarify unanswered questions and discuss feedback with both sides. We stay involved through offer discussions and practical arrangements, including concerns or changed expectations that could prevent a hire.

Working with Technology Headhunters

There is no upfront fee for our contingency search. You pay only if you hire someone we present, under the terms of the signed agreement.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

What don't you do in a permanent search?

We do not bill by the hour for permanent search or charge a retainer unless one is agreed. We do not treat reposting your job advertisement as headhunting.
