What this hire really comes down to

A reporting analyst produces the recurring numbers a business runs on: daily operations dashboards, weekly management packs, month end schedules. Buyers hire this role when leaders argue over whose spreadsheet is right, when reports are rebuilt by hand every cycle, or when a data team is too busy to serve routine requests. The hire is about accuracy, reliability and patience with stakeholders, more than about advanced modeling.

Environment shapes the work. In finance and operations teams the analyst reconciles reports to the ledger and explains variances. In contact center reporting, the analyst works with telephony and ticket data, measuring queues, handle times and service levels, and often produces intraday views for supervisors. A manufacturer wants production and inventory summaries. Say which, because the data sources, deadlines and audiences differ. Some roles deliver static packs; others maintain self service dashboards in Power BI.

The core toolkit is Excel with Power Query for repeatable transformations, SQL for pulling data directly, and Power BI, where PL-300 provides a recognized benchmark. Evidence of skill is reconciliation: a report that ties to its source, with documented definitions of every measure. An analyst who can say precisely what counts as an active customer or a closed ticket prevents most disputes before they start.

What we check before you see anyone

  • Excel with Power Query

Ask them to describe a recurring report they automated: sources, transformations, refresh steps. Probe merging, unpivoting and how they handle source layout changes.

  • SQL

Request a query joining orders to customers with filtering and grouping, and ask how they check totals against the source. Basic fluency with careful validation is the aim.

  • Power BI and PL-300

Probe data modeling basics, relationships, measures versus columns and refresh scheduling. If certified, ask what they changed in practice because of it.

  • Metric definitions

Ask for an example of a metric dispute and its resolution. Strong analysts write definitions down and secure agreement from the business owner.

Where we find them

Finance and operations teams supply analysts who understand reconciliation and deadlines. They tend to be disciplined and trusted by managers, though their tooling may center on spreadsheets and need development in BI platforms.

Contact center reporting teams offer analysts comfortable with high frequency data and impatient audiences, with strong skills in operational metrics. Check their breadth beyond one platform.

Administrative and business support staff with advanced Excel skills are a further pool, as are analysts leaving larger data teams who prefer steadier reporting work. Test fundamentals directly.

Mistakes we see

  • Treating a credential as the answer

Do not let excel with power query become a keyword filter. Probe merging, unpivoting and how they handle source layout changes.

  • Leaving the actual scope out

Put the responsibility for sql in the brief, including who helps the hire and who decides. Request a query joining orders to customers with filtering and grouping, and ask how they check totals against the source.

  • Waiting until the offer to discuss the work

Discuss what the person will own in power bi and pl-300 before the interview loop. If certified, ask what they changed in practice because of it.

The search in three steps

  1. Agree the brief

We start by asking which reports matter, who reads them and how they are produced today. That reveals whether you need an automator, a reconciler or a dashboard builder.

  2. Find and speak with people

Screening uses a short discussion of a past report failure and a data question. We watch for care, humility and clear explanation.

  3. Introduce the people who fit

We send a written brief on each person you meet, including why the work fits and the questions still worth asking about metric definitions. You decide who to interview. We help with the conversations through the offer.

Red flags include manual copy and paste pipelines with no documentation, reports that nobody can trace to a source, and an inability to say how a metric is calculated. Good evidence includes automating a recurring pack, catching an error before it reached leaders and calmly explaining a number to a skeptical manager. Ask how they handle last minute requests that contradict earlier definitions.

Consider also how reports are consumed. Analysts who watch how leaders really use a report, and then cut the pages nobody reads, improve the whole function. Decide whether the role should challenge requests or simply fulfil them, because candidates differ and the culture should be stated openly.

Another thing to settle is data access. A reporting analyst who must wait for others to extract data will always be slow, while one with direct read access to curated tables can answer questions the same day. Decide what access is appropriate, how definitions are governed and who signs off on a number before it goes to leadership. Candidates who have worked under a clear sign off process tend to be calmer about accuracy, and they ask good questions about control when they interview. Those are the people to prioritize.

Questions about this search

When will we see a shortlist?

We agree the search plan after checking your requirements for excel with power query and sql, rather than promising a date before the brief is clear. Ask them to describe a recurring report they automated: sources, transformations, refresh steps.

What if a candidate gets a counteroffer?

We ask what would make someone leave work involving excel with power query, and what could make them stay. Before you invest in interviews, we discuss whether your offer changes the problem they want to leave, including the responsibility for metric definitions.

Should this role be remote or on site?

Experience with excel with power query and sql does not settle the location question. Tell us what access and supervision the work needs, including who owns decisions about metric definitions, so we approach people who can accept the arrangement.

How will you check fit before we interview?

Ask them to describe a recurring report they automated: sources, transformations, refresh steps. Probe merging, unpivoting and how they handle source layout changes. Request a query joining orders to customers with filtering and grouping, and ask how they check totals against the source.

How does the fee work?

No upfront fee. You pay only if you hire. Agree the fee and the responsibilities covering excel with power query and sql in the recruiting agreement before the search proceeds.

What if the hire does not work out?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Make sure the agreed scope includes what you expect of metric definitions, rather than leaving that discussion until after the start.

The Six-Step Search

  1. 01

    Search Calibration

We discuss the work before treating a title as a brief. You explain the systems, problems, responsibilities and support available. We agree what experience matters, which requirements are flexible, and what the employer still needs to assess.

  2. 02

    Targeted Market Research

We research teams doing relevant work, not just people using the same tools. A hospital support desk and an office help desk need different backgrounds. You get feedback when the scope, location or compensation makes the search harder.

  3. 03

    Personal Outreach

We identify relevant people and contact them with a reason tied to the opening. Follow-up is considered and respectful. Someone can have the right background and still decline; interest is not assumed from a profile or a reply.

  4. 04

    Live Candidate Qualification

We ask what the person personally delivered, which decisions they owned and what happened when something went wrong. The conversation fits the assignment's level. We discuss motivation, compensation expectations, location, schedule and questions about the opportunity.

  5. 05

    Written Candidate Insight

The presentation explains relevant experience, the apparent fit and the questions still open. We distinguish the candidate's account from our judgment. Your hiring team retains responsibility for technical assessment and the final decision.

  6. 06

    Interview and Offer Support

We help keep interviews moving, clarify unanswered questions and discuss feedback with both sides. We stay involved through offer discussions and practical arrangements, including concerns or changed expectations that could prevent a hire.
