What this hire really comes down to

You need a junior administrator who understands the difference between point-and-click configuration and actual custom development. Many teams struggle because they hire developers to do basic administrative work, resulting in a bloated environment filled with unnecessary Apex code. This role requires someone focused on profile management, report creation, and data cleanup rather than building new custom frameworks from scratch.

A strong junior hire keeps your production environment clean by focusing on standard objects and declarative automation. When you push administrative tasks to senior developers, you increase your technical debt and burn out your expensive engineering resources. Your focus should be on someone who can document current processes and improve data quality across the platform.

What we check before you see anyone

  • Declarative Flow Logic

Ask them to explain the difference between a record-triggered flow and a legacy workflow rule. A qualified candidate knows that Salesforce now mandates Flow for automation. You want to see if they understand the order of execution and why using simple flow components is better than building nested decision trees that are impossible for other admins to read.

  • User Access and Security

Test their ability to configure a hierarchy of roles and profiles. A junior admin must demonstrate how to restrict access to records using sharing rules rather than just granting broad permissions. They should be able to walk you through a scenario where a user can see a record but cannot edit specific fields, showing they understand field-level security.

  • Reporting and Dashboards

Have them explain the limits of standard reports versus custom report types. Many juniors fail here by creating a new report type for every minor request. A good candidate knows when a standard join is sufficient and can build dashboards that provide clear, actionable metrics for sales managers without excessive filtering.

  • Platform Developer I Awareness

While this is not a coding role, a candidate with the Platform Developer I credential has an advantage. It proves they understand the basic data model, relationships between objects, and how code interacts with the platform. They can read basic Apex triggers to understand what a process is doing, even if they do not write the code themselves.

Where we find them

Look for professionals currently working in operations or sales support roles who show an affinity for system cleanup. These individuals often spend their time manually exporting data to spreadsheets to fix errors, which is a sign they are ready to learn the administrative side of the platform. Focus your search on people who have documented their internal processes or who have taken the initiative to clean up their own department data.

Target candidates who have completed self-paced learning paths and earned their primary certification. These individuals are usually motivated by a clear career path change and bring genuine curiosity to their work. Look for people who attend local user groups or participate in online community forums. A candidate who asks questions about how to handle specific data import challenges is often more reliable than someone who just lists generic skills on their resume.

Mistakes we see

  • Hiring an overqualified developer for an administrative role. They will quickly grow bored with routine maintenance tasks and move on to a role that allows them to write code full-time.

  • Expecting the junior admin to act as an architect. They lack the experience to foresee how custom fields or changes in automation will impact downstream integrations or reporting structures.

  • Ignoring data hygiene in favor of fancy UI changes. Your new admin should focus on fixing validation rules and cleaning up duplicate records before they start adding new widgets to the home page.

The search in three steps

  1. Agree the brief

During the intake, define the percentage of time spent on user support versus proactive system maintenance. If you need someone to manage integrations, be clear that this is a separate requirement from administrative work.

  2. Find and speak with people

Test their troubleshooting skills by presenting a real, anonymized issue from your current backlog. Ask them how they would identify the cause of an error message during a simple data import process.

  3. Introduce the people who fit

Evaluate their communication style by having them explain a technical change to a non-technical department head. If they cannot describe a security update in plain English, they will struggle to support your business users.

Questions about this search

Should I require a specific number of years of experience?

Experience years are less important than the complexity of the environments they have supported. Focus on whether they have managed a system with more than fifty users and handled complex object relationships.

Can I hire a remote junior administrator?

Yes, but it requires more effort to document internal processes. You must have a clear ticketing system in place, as you cannot rely on them sitting next to someone to learn the system by observation.

How do I handle a candidate who wants a higher salary for their coding skills?

If they have developer skills, they will likely expect developer pay. If your budget is strictly for an administrator, hire someone who does not have a background in coding to avoid retention issues.

What if they have a counteroffer from a firm offering them a developer role?

You should expect them to take the developer role. An administrator who is actively looking for coding work will not stay in an administrative position for long.

How do I ensure they fit my specific technical needs?

Ask for examples of how they handled specific errors in a sandbox environment. A reliable admin tests changes in a sandbox before deploying them to production, and they should be able to walk you through that process.
