What this hire really comes down to

A VIP or executive support technician exists because the cost of a failed laptop is different when it belongs to the chief executive about to present to a board. The role covers a small, high-visibility group: senior leaders, partners, trustees and their assistants. Work includes device setup, home office visits, travel preparation, meeting room readiness and fast resolution of anything that interrupts their day. The skill is as much about composure as it is about technology.

Discretion is the defining trait. This technician sees calendars, documents, messages and sometimes personal devices belonging to the most sensitive people in the organization. A candidate who gossips, even casually, is a liability. We treat discretion as a hard requirement and probe it through references and through how candidates speak about past clients and colleagues. People who volunteer confidential detail in an interview have already answered the question.

The environment determines the shape of the job. A professional services partnership may have executives who travel constantly and use mixed Apple and Windows hardware. A finance firm may need tight compliance and locked-down devices. A hospitality or family office context may place the technician in homes. Describe who the principals are, how many there are, what hours they keep and whether the technician is dedicated or shared with the wider desk, because each answer changes the kind of person who will succeed.

What we check before you see anyone

  • Fluency on both Apple and Windows

Executives rarely standardize on a single platform. They may carry a MacBook, an iPhone, an iPad and a Windows laptop issued by IT. We confirm the candidate can configure, troubleshoot and migrate data on each, including backups, Apple ID and managed Apple accounts, and Windows profiles. We ask for the most awkward cross-platform problem they have solved.

  • Teams Rooms and Zoom Rooms meeting technology

Boardroom and executive office meetings run on room systems, cameras, microphones and displays that must work the first time. We ask about their experience setting up, testing and supporting Microsoft Teams Rooms and Zoom Rooms, including what they check before a meeting begins and what they do when a call fails with minutes to spare.

  • Discretion and executive presence

We assess these in a structured interview and through reference conversations. We ask how they have handled seeing something sensitive, how they respond to a demanding principal and how they speak about previous employers. Calm, brief, professional answers are what we look for.

  • Anticipation over reaction

The best VIP technicians prevent problems. We ask about the routines they ran, such as checking devices before travel, refreshing batteries and verifying updates ahead of a presentation.

  • Travel and home office support

Many principals need help at home or abroad. We ask about remote support during trips, secure networking on the road and home Wi-Fi improvement, with permission and care for privacy.

  • Security awareness

Executives are targeted for phishing and impersonation. We ask how the candidate reinforces secure habits without irritating senior people.

Where we find them

The strongest pool comes from existing executive support teams at professional services and financial organizations. These people already work among senior leaders and have learned the mix of speed, privacy and politeness the job needs. We approach them individually and respectfully, since most are not looking and are protective of their principals.

High-touch managed service providers that serve smaller firms with demanding leadership are another source. Their technicians learn to respond quickly to people who expect personal attention. Finally, we look at hospitality and concierge technology teams, where support for guests and owners trains the same manner. We never rely on volume outreach, and we confirm each candidate's discretion before introducing them.

Referrals from executive assistants and office managers are unusually valuable here, since they see technicians in action and notice who is both capable and discreet. We ask assistants and operations leaders in our network who they would trust, and we follow those leads with care. We also speak with technicians who have left high-visibility roles for family or health reasons and want to return in a calmer setting.

Mistakes we see

  • Treating a credential as the answer

Do not let fluency on both apple and windows become a keyword filter. We ask for the most awkward cross-platform problem they have solved.

  • Leaving the actual scope out

Put the responsibility for teams rooms and zoom rooms meeting technology in the brief, including who helps the hire and who decides. Boardroom and executive office meetings run on room systems, cameras, microphones and displays that must work the first time.

  • Waiting until the offer to discuss the work

Discuss what the person will own in discretion and executive presence before the interview loop. Calm, brief, professional answers are what we look for.

The search in three steps

  1. Agree the brief

We open with a candid conversation about the principals you support, without requiring names. We learn the scale, platforms, travel patterns, hours and any standards for how technicians should behave in executive spaces.

  2. Find and speak with people

Screening combines technical testing with a manner assessment. We verify references carefully, which in this role is as important as skills testing, and we summarize both aspects in the profile we send you.

  3. Introduce the people who fit

We send a written brief on each person you meet, including why the work fits and the questions still worth asking about security awareness. You decide who to interview. We help with the conversations through the offer.

Executive presence does not mean formality alone. It means arriving unhurried, speaking plainly, never blaming the user and leaving the room better than you found it. Candidates with a service background in concierge, hospitality or high-end retail often have this naturally. We combine that observation with technical testing so neither half is assumed.

Boundaries are worth discussing with the hiring manager. A VIP technician may be asked for favors that sit outside the job, such as helping with a family member's phone. Some employers welcome that and others prohibit it. Candidates handle these requests better when the line is clear, and we ask how each person has work through them. A technician who can say a polite no without damaging the relationship is worth a great deal.

Questions about this search

When will we see a shortlist?

We agree the search plan after checking your requirements for fluency on both apple and windows and teams rooms and zoom rooms meeting technology, rather than promising a date before the brief is clear. Executives rarely standardize on a single platform.

What if a candidate gets a counteroffer?

We ask what would make someone leave work involving fluency on both apple and windows, and what could make them stay. Before you invest in interviews, we discuss whether your offer changes the problem they want to leave, including the responsibility for security awareness.

Should this role be remote or on site?

Experience with fluency on both apple and windows and teams rooms and zoom rooms meeting technology does not settle the location question. Tell us what access and supervision the work needs, including who owns decisions about security awareness, so we approach people who can accept the arrangement.

How will you check fit before we interview?

Executives rarely standardize on a single platform. They may carry a MacBook, an iPhone, an iPad and a Windows laptop issued by IT. Boardroom and executive office meetings run on room systems, cameras, microphones and displays that must work the first time.

How does the fee work?

No upfront fee. You pay only if you hire. Agree the fee and the responsibilities covering fluency on both apple and windows and teams rooms and zoom rooms meeting technology in the recruiting agreement before the search proceeds.

What if the hire does not work out?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Make sure the agreed scope includes what you expect of security awareness, rather than leaving that discussion until after the start.
